This role is key to ensuring that all project documentation is accurately managed, controlled, and distributed in line with company procedures and project requirements.

The successful candidate will work closely with project teams, subcontractors, and clients to maintain document control processes throughout the project lifecycle.

Key Responsibilities:

  • Set up, manage, and maintain document control systems for construction projects
  • Ensure all drawings, specifications, reports, and project documents are accurately logged, stored, and version‑controlled
  • Issue and distribute drawings and documents to internal teams, subcontractors, consultants, and clients
  • Maintain up‑to‑date document registers and trackers
  • Ensure documents are approved, reviewed, and issued in line with project procedures and deadlines
  • Manage incoming and outgoing correspondence related to project documentation
  • Support project managers and site teams with document control queries
  • Ensure compliance with company standards, QA procedures, and ISO requirements (where applicable)
  • Archive project documentation at completion in line with company policies

Skills & Experience Required:

  • Previous experience as a Document Controller within the construction industry
  • Familiarity with construction documentation including drawings, specifications, RFIs, and O&M manuals
  • Experience using document management systems (e.g. Viewpoint, Aconex, Asite, SharePoint or similar)
  • Strong organisational skills and attention to detail
  • Confident using Microsoft Office, particularly Excel and Outlook
  • Ability to manage multiple projects and deadlines simultaneously
  • Strong communication skills and a professional approach

list Admin Support Officer

£19 - £24 per hour

MMP Consultancy are working with a fantastic organisation to recruit an Administrator to join them on a temporary basis in South East London.

The post holder will be responsible for dealing with all customer enquiries in relation to our services, focusing primarily on repairs, housing management and income management. Delivering a service to meet the individual needs of all customers and wherever possible resolving enquiries at first point of contact.

Skills/Experience required:

  • Take responsibility for being the first point of contact for service users and ensure that a high quality of service is delivered at all times.
  • Establish, develop and maintain effective working relationships with all work colleagues to ensure a 'one team approach' to the delivery of the team's performance standards and the business objectives.
  • Liaise with colleagues in local offices, contractors and other partner agencies as appropriate to resolve enquiries
  • Take ownership and responsibility for all enquiries presented to the Housing Officer, identify customer needs, and utilising appropriate questioning and listening skills to identify and offer appropriate solutions
  • Ensure that all computerised systems are used effectively to help process customer enquiries and accurately maintaining all records in a timely manner.
  • Complete Customer Satisfaction Surveys and all outbound activities in line with team objectives.
  • Ensure a clear knowledge and understanding of team objectives and priorities and how the individual role will contribute to the achievements.
  • Support the Manager with the process of collating the Key Performance Indicators
  • Ensure that information literature is available in the office and at the front counter which are relevant, accurate and in a form that meets the needs of the intended recipient.
  • Responsible for ensuring all forms of customer database is kept up to date at all times including the equality database.
  • Responsible for updating the organisations website as well as other associated social media platforms.

Main Responsibilities:

  • Accurately input overdue jobs and completed tasks into relevant systems.
  • Ensure records are updated with completion details.
  • Identify jobs that need to be brought forward based on urgency and deadlines, maintaining an efficient workflow.
  • Reach out to tenants via phone and email to schedule and confirm repair appointments.
  • Provide clear information about the nature of repairs and expected timeframes, addressing any concerns or queries they may have.
  • Handle repair requests and log them into the appropriate systems.
  • Coordinate with maintenance teams and contractors to ensure timely resolution of reported issues.
  • Record updates and maintain accurate reports on ongoing repairs.
  • Organise and respond to incoming emails related to repairs and maintenance inquiries.
  • Deal with Public Buildings, fire stations, libraries, schools, day centers
  • Be able to take the instruction from client and process job on the system and get the job out
  • Deal with incoming emails, phone calls from clients/sites
  • Processing of daily timesheets and holiday forms

Experience Required:

  • Experience in working in a responsive repair's environment.
  • Experience of raising, monitoring and recording work orders though a relevant housing / repair management system.
  • Experience in coordinating and following up on work programmes.
  • Ability to work independently, exercising good initiative and judgement
  • Excellent written and verbal communication skills.

Working as part of a team in a busy environment assisting the operational team to schedule and plan works in a cost effective and organised way to ensure a quality service.

Key Responsibilities:

  • Manage all resource planning activities to ensure maximum efficiency
  • Enable K.P.I's to be met weekly by ensuring all jobs and appointments are met
  • Check K.P.I performance weekly and analyse service failures to implement solutions
  • Audit performance weekly and any errors bought to your team's attention.
